Organizing client inboxes for an agency

I run an agency and we support many clients. 

 

I want to be able to go to one spot and see all the emails from that company. 

 

I had originally thought about doing this as tags. Then we made mailboxes for all the clients. This seems to be challenging though. I am seeing messages not show up in the mailboxes. 

I don’t think each client should have their own mailbox. 

How are other agencies doing this?

Thank you for reaching out about this! Your idea of using tags and separate inboxes is actually one of the most common ways I’ve seen companies achieve this type of workflow. Some teams use a combination of both, while others rely on just tags or just inboxes. It really comes down to your team’s preferences and how you’d like to organize conversations.

For example, a common setup is to create a rule that automatically detects when Company A writes in and moves the conversation to a dedicated Company A inbox. This allows the teammates responsible for that account to easily manage and follow up on those conversations.

This doesn’t really answer my question. 

 

My question is if it’s more effective to use Tags or Inboxes in order to do this. I know I can do both. My thought is that tags is the way to go.

 

I think there are +/- to using them or maybe use a combo of both in order to get the best outcome.

Heya 

 

We had the same problem - lots of client accounts, rapidly growing in number. 
 

We created a webhook that adds a Tag by account. 
 

we then created views for each Tag.

It does, I think tags are easier than mailboxes...

100% easier + if you want to change the Client Account allocation to different internal teams / team members - you can simply update the view (vs having to move inboxes around).

Great question… I have started using tags to classify emails but would be curious to know if there is a way to automate tagging based on a name in the memo line? I have tried playing around with rules, but can’t seem to find an option/method that would allow for this.
