One of many things I use Front for is to view my team members’ calendars to see when all parties are available to meet. 

 

I am constantly scheduling in my line of work (consulting)… so I have to look at 3-4 peoples schedules within 1-2 weeks, find openings that we have in common, take note of those openings, then provide the client will all possible options. 

 

Is there any scheduling assistant tool or integration that can help with this?

 

To me this would be an amazing AI feature… not sure if that already exists as well. 

 

I would love to select team members and get a “summary” of all of our availability so I can copy/paste that in an email to a client. Or even prompt AI to get this information for me using the Front calendars. 

 

Does anybody have answers or ideas?

Thanks for the answer. Group scheduling links will work IMO for the scenario in which I will always need to book a meeting with specific people. 

 

In most cases, however; there are so many combinations of people and it changes per meeting and per client. One day I’ll need persons A, B, and C. The next day A-B-D, the next day B-C-D, it’s very dynamic.

 

Using group scheduling links would require me to create a link for all possible combinations of resources unless I’m mistaken. 

 

The ideal scenario in this situation is that via an AI tool I can say - “AI… look at John, Sally, and my calendars and tell me all the times in which we are available in the next two weeks”. AI gives me the availabilities that I can copy/paste in an email to the client. 

 

I sort of like the idea of giving them a shared link to book, but I don’t want to create 50 different group scheduling links. If I give the client a group scheduling link, can they go back to that link and book in the future? I could see that getting messy if they’ve been given several links for booking with different people.

Since you are using a different group of people each time a better option might be the “insert meeting times functionality” - help center article here: https://help.front.com/en/articles/2389#instructions

 

If you add the relevant teammates in the Add additional guests section when using that feature, Front will automatically populate times in the email that match when everyone is available (using the days you manually select). So you don’t have to spend any time hunting for the slots that are open - Front will do that work for you/populate the times into your email


It also updates live - so if you send the email, and then schedules change and a time is no longer available the recipient will be directed to select a new time:

Thank you, ​@trevor_shibley. This is what I am looking for. I knew there had to be a feature already existing for this.

 

I still think that a future enhancement would be to have this functionality in the AI assistant tool to make it even quicker and easier.
