I’m doing a name/email address change for one of my Microsoft 365 users.  They have a user mailbox in Exchange, but a shared mailbox in Front.  Should I…

One, do the name/email address change in Microsoft 365 and hope everything syncs over to Front and hope for the best?

Two, should I delete the Teammate, Inbox, Channel, and Rules associated with that user and start from scratch?

Or three, is there something else I should be doing?

Thanks!

Hi Quinn 👋

Thanks for reaching out! I noticed that my colleague Haley had already responded to your email, so I’m sharing her reply here as well for others to see.

Thank you for reaching out to us around the name change for your teammate!

We do not recommend deleting the teammate or deleting the inbox in Front. Deleting the teammate will remove their profile, and their associated data. Similarly deleting the inbox in Front will also delete the conversations within it too.

For the change, we recommend as a first step, that they update their profile details. They can do this by navigating to Settings > Personal tab > Profile, and use the change email button to adjust the email address for their profile. They can also use the open fields for first name, last name, and username to update their other details too.

Currently admins are unable to edit the email address for their teammates. It will instead require the teammate themselves to take these steps to update their email.

If they see that the change email option is locked for them, please let us know with the email address that they are currently using and we can help get a closer look into their profile.

After updating their profile, the shared channel can be disconnected by navigating to Settings > Company/Workspace tab > Channels > select their address from the list > click delete channel. This will help remove and disconnect the channel. This will also help keep the data that your team already has in place. Next you can use the add channel option to reconnect the channel using the new address and allow the connection to continue using their new email.

We also have details around email changes like this in our help center which may help as well.

Thanks again, and please let us know if you have any other questions!
